What Is Form W-9?
Form W-9, Request for Taxpayer Identification Number and Certification, is an IRS form that businesses use to collect your legal name, address, federal tax classification, and Taxpayer Identification Number (TIN). Unlike most tax forms, you never send a W-9 to the IRS. You give it to the person or company paying you, and they use it to prepare your Form 1099-NEC or 1099-MISC at the end of the year.
Your TIN is usually your Social Security Number (SSN) if you're an individual or sole proprietor, or your Employer Identification Number (EIN) if you operate as a business entity.
Is There a New W-9 Form for 2025?
No — and this surprises a lot of people. The IRS does not release a new W-9 every year the way it does with the W-4. The current version is the March 2024 revision, and it remains the correct form to use for all of 2025. The most recent update added line 3b, a checkbox for partnerships, LLCs taxed as partnerships, and trusts/estates that have foreign partners, owners, or beneficiaries.
If a client sends you an older version (October 2018 or earlier), it's best to download the current revision from IRS.gov and use that instead.
Who Needs to Fill Out a W-9 in 2025?
- Freelancers and independent contractors — writers, designers, developers, consultants
- Gig economy workers — rideshare drivers, delivery couriers, task-app workers
- Vendors and service providers paid $600 or more by a business during the year
- Landlords receiving rent payments from business tenants
- Anyone opening certain financial accounts — banks and brokerages use W-9s to report interest and dividends
- Recipients of prizes, awards, or legal settlements from a business
The general rule: if a business expects to pay you $600 or more in 2025 for services (outside of W-2 employment), they should collect a W-9 from you before issuing payment.
How to Fill Out the W-9 Form: Line by Line
Line 1: Name
Enter your full legal name exactly as it appears on your tax return. For sole proprietors and single-member LLCs, this is your personal name, not your business name — this is the single most common W-9 mistake.
Line 2: Business Name / Disregarded Entity Name
If you have a DBA ("doing business as"), trade name, or single-member LLC name that's different from Line 1, enter it here. Otherwise, leave it blank.
Line 3a: Federal Tax Classification

Line 4: Exemptions
Most individuals leave this blank. Exempt payee codes apply mainly to corporations, banks, and government entities that are exempt from backup withholding.
Lines 5–6: Address
Enter the mailing address where your 1099 should be sent. Use your current address — an outdated one can delay your tax documents.
Part I: Taxpayer Identification Number (TIN)
- Individuals / sole proprietors: enter your SSN (an EIN is also acceptable for sole proprietors)
- Single-member LLCs: enter the owner's SSN or EIN — not the LLC's EIN, unless the LLC is taxed as a corporation
- Corporations and partnerships: enter the entity's EIN
Part II: Certification and Signature
By signing, you certify under penalty of perjury that your TIN is correct, you're not subject to backup withholding, you're a U.S. person, and any FATCA code is correct. Sign and date the form — an unsigned W-9 is invalid.
